Human Resources Professional - Kansas Bureau of Investigation

    Position Summary:

    The Kansas Bureau of Investigation (KBI) is accepting applications for a Human Resources Professional. This is a full time position and requires the employee to be available to work, Monday through Friday 8:00am to 5:00pm.

    This position works in a customer service focused environment and will receive numerous daily telephone and in-person contacts with the public and law enforcement officials. The individual selected to fill this position will be required to become knowledgeable with the KBI’s structure, policies and procedures as well as to gain knowledge about other state or local agencies and certain private entities that may be able to assist our constituents.

    Job Responsibilities may include but are not limited to the following:

    You will share duties with other Human Resources staff in answering incoming calls and directing calls to the appropriate parties from the KBI Headquarters main phone line. You will provide direction to callers and answers questions when it is appropriate, as to if another state or local agency should be contacted; discretion will be used in providing confidential information concerning employees or case information.

    You will be responsible for the following:

    Payroll processing using the Statewide Human Resource and Payroll System (ShaRP)
    This includes making sure employees submit and supervisors approve timesheets by established deadlines, providing assistance to supervisors and employees, reviewing approved timesheets for accuracy, and running reports to ensure payroll processing is accurately processed. You will be expected to extract data from SHaRP and other data files and use Excel or Access to develop reports for management as needed;

    Creating and administering employee surveys and communicating results and recommendations to the HR Director and other members of the KBI Executive Staff.
    Greeting and controlling visitor access. Issue visitor passes and maintain visitor access to the building. Maintain entry security by controlling access to front doors;
    Prepare and maintain active and inactive employee files;
    Routinely file paperwork into personnel and medical files maintained in HR;
    Enter employee information into the Statewide Human Resource and Payroll System (SHaRP);
    Enter requisitions for Human Resources into the Statewide Management, Accounting & Reporting Tool (SMART);
    Work closely with each division and unit with the KBI on a regular basis;
    Serves as a back-up for KBI recruitment activities to include checking shared email inbox, applications for vacant positions, and scheduling interviews.
    Qualifications:

    Education
    High School Diploma or GED

    Licensing & Certification
    Notary license or ability to obtain within 6 months.

    Minimum Qualifications

    One year of experience in planning, directing, organizing, managing or administering personnel or human resources functions. Education may be substituted for experience as determined relevant by the agency.
    Knowledge of the principles and practices of human resources management.
    Computer skills using Microsoft Access, Excel, Word and Outlook.
    Excellent written and verbal communication skills.

    Preferred Qualifications

    One (1) year experience using multi-line phone system.
    One (1) year working in a law enforcement related field.
    Experience in customer service oriented work environment.
    Experience in a Human Resources Environment
    Experience in payroll function, preferably in SHaRP or PeopleSoft.
    Knowledge of state laws, rules, and regulations applicable to the Kansas Civil Service system.
    Graduation from an accredited four-year college or university with major coursework in business administration, human resources or related fields, or SHRM Certification.
    Bilingual skills (especially Spanish speaking) are highly desired but not required.
    Post-Offer, Pre-employment Requirements

    As a condition of employment, you will be subject to a pre-employment process to include a polygraph examination, fingerprint based records check, and comprehensive background investigation, including reference check of past and present employers. The pre-employment process will be waived for current KBI personnel who have previously completed the screening requirements.
