Human Resources Department Assistant - Stormont Vail Health

    Performs administrative and clerical duties as assigned by Human Resource Directors to support the Benefits and Wellness, Employee Health and Employee Relations, Compensation, and Talent Acquisition team functions. Works collaboratively with staff to meet the needs of projects using a variety of skills and processes. Detail-oriented with the ability to multi-task and efficiently prioritize projects in a quickly changing environment.

    What you will do:

    • Receives incoming calls responds independently, answering questions, providing information or directing to appropriate team member.
    • Schedule appointments/meetings, maintains department calendars. Make arrangements for and coordinate conferences and meetings.
    • Support department projects including but not limited to accreditation/survey projects, recognition events, benefit events, recruitment campaigns and communication/mailing projects.
    • Accurately perform secretarial duties including but not limited to data entry, filing, and correspondence, copying and scanning documents.
    • Provide support for contract monitoring, invoice processing, monthly financial reports, and procurement.
    • Maintains department operations including but not limited to inventory, purchase orders/supplies, record keeping, mail sorting, scanning, filing, and other department specific tasks which ensures the continual functioning of the area.
    • Arrange business itineraries and travel requirements.
    • Ensure all equipment and department facilities are in working order. Identify and complete facility requests and IT forms.
    • Coordinate department new hire process including scheduling interviews, creating new hire orientation manuals, setting up introductory meetings, and updating department contact list.
    • Preparation of records such as agenda, notices, minutes, and resolutions for meetings.
    • Compose and prepare confidential correspondence, reports, and other complex documents.
    • Tracks hours worked and leave as necessary for department staff. Runs reports and keeps leaders aware of scheduling issues, low staffing, low balances, etc. Runs reports as necessary.
    • Backup to Human Resources Receptionist.
    • Serves as a resource for department team members.
    • Assists leadership with completing their administrative tasks as necessary.

    Education & Experience Qualifications

    • High School Diploma / GED Required
    • Bachelor's Degree Preferred
    • At least one year clerical or administrative experience required; at least one year secretarial experience preferred.

    Skills & Abilities (Required Proficiencies) 

    • Ability to efficiently use word processing programs such as Microsoft Office products (including Word, Excel, PowerPoint and Access), e-mail, and database software as applicable to the department.
    • Ability to use common office equipment including but not limited to: multi line phone system, copier, fax, scanner machine, office filing system, and shredder.
    • Ability to write and maintain business reports, business correspondence, policy and procedure manuals with competency in spelling, punctuation and grammar.
    • Excellent verbal, written communication and customer service skills as this position must communicate and interact effectively with a large number of professionals and individuals from a variety of backgrounds, including Stormont Vail Health workers, various outside organizations, and the general public.
    • Ability to be a self-starter, complete work independently, and prioritize daily duties.
    • Ability to have a broad knowledge of general office procedures and schedule appointments as needed.
